Frequently Asked Questions

Answers to many questions about academic transcripts may be found in the Academic Transcript FAQ.

Common Error Messages from Application Inspector

If Application Inspector displays the error message
Record of Degrees Awarded or Expected: Institution 1 Ceeb Code
it means you did not use the "Find Your School" link to select your school under Undergraduate / Bachelor’s / Post-Secondary Degree. See instructions below.

If Application Inspector displays an error message such as

Grade Point Average: Institution 1 Cumulative GPA
Record of Degrees Awarded: All Other Institutions: Institution 1: Cumulative GPA
it means you either entered a GPA greater than 4.999, or you did not enter a GPA with at least two decimal places (i.e. 3.50, not 3.5).

Undergraduate / Bachelor’s / Post-Secondary Degree

Here you must report your first undergraduate, bachelor's, or post-secondary degree. If you have been awarded (or are expecting) a degree from only one institution, use this section.

Institution: Use the "Find Your School" link to automatically list your school’s code. If you cannot find an institution located in the United States, search on "unlisted" and click on the link for

00103357:Unlisted Domestic Institution::United States
If you cannot find an institution located outside the United States, seach on "unlisted" and click on the link for
00137298:Unlisted Foreign Institution::Foreign
You MUST select an Institution for every school you list. DO NOT LEAVE THIS BLANK, In addition, please enter the school’s full name, city, state (if applicable) and country.

Grade Point Average (GPA): This item should be completed for U.S. institutions only. If you attended an institution outside the U.S., please leave this item blank.

If your GPA is not on a 0-4 scale, please leave this item blank.

If your institution does not provide you with a cumulative GPA, calculate it by multiplying the grade received in each course by the number of credits for the course. The following scale should be used:

A+ 4.00
A 4.00
A- 3.67
B+ 3.33
B 3.00
B- 2.67
C+ 2.33
C 2.00
C- 1.67
D+ 1.33
D 1.00
D- 0.67
F 0.00

For example, if you received an A- for a 3-credit biology course, you would multiply 3.67 x 3. This gives you the number of points for the course. Calculate the points for each graded course counted toward your degree and then sum the points. Finally, divide the total points by the total number of credits counted toward your degree to determine your cumulative GPA. Your GPA should have at least two decimal points, i.e. 3.00, 3.323, 4.00, etc., and must be less than 5.000

All Other Institutions

If you have attended any other institution, or have been awarded (or are expecting) additional degree(s), use this section. You may list up to four (4) additional institutions.

Institution: Use the "Find Your School" link to automatically list your school’s code (see above). You MUST select an Institution for every school you list. DO NOT LEAVE THIS BLANK, In addition, please enter the school’s full name, city, state (if applicable) and country.

Degree: If you have been awarded (or are expecting) a degree from this institution, select it here. If you select a degree, you must enter the date awarded or expected. If you were not awarded a degree, or do not expect a degree from this institution, leave both Degree and Date Awarded or Expected blank.

What Transcripts are Required?

The Graduate School requires that we receive your undergraduate degree transcript (baccalaureate or equivalent) before enrollment. Students from India, Pakistan, Sri Lanka, Myanmar, and Bangladesh must show completion of both the baccalaureate and master’s examinations prior to registration in the Graduate School. The examinations for the Bachelor of Engineering and the Bachelor of Technology meet the application requirements for the Graduate School.

One (1) academic transcript, mark sheet, or final grades sheet (and English translation, if required) from each institution you attended should be uploaded on one of the “Transcript Upload” pages. The baccalaureate or equivalent transcript should clearly indicate conferral of your undergraduate degree. If you are currently completing your baccalaureate, the transcript should show your academic record through your most current term of study.

The transcript you scan and upload must be a document that was produced by the registrar. The document must include one or more of the following features: the registrar’s signature, the registrar’s seal, an institutional watermark, or it must be printed on official institutional paper. A document you personally print from your academic history does not meet this requirement.

If uploaded, you should NOT send copies of your transcripts to Graduate Enrollment Services at this time. If you are offered admission, you will be required to provide official transcript(s).

Special exception for work done in a study abroad program or summer session or for other transfer credit.

Some transcripts also report course work from a different institution. If the course names and grades appear on another transcript you are uploading, then it is not necessary for you to also submit a separate transcript from your study abroad, transfer, or summer session school. However, the transcript must include the course names and grades for work done at the other institution; if it does not, then we require that you upload a separate transcript.

International students must ensure that certified English translations accompany all documents written in languages other than English. Translations must be literal and complete versions of the original records.

If you are offered admission and enroll, one (1) final transcript showing conferral of your undergraduate degree (baccalaureate or equivalent) must be sent to Graduate Enrollment Services and be received prior to your first term of enrollment. This must be an official transcript with the registrar’s stamp or signature. It will become part of your official University record. If a final and official transcript was not included as part of your application materials, then you must send one as soon as possible after conferral of your undergraduate degree.
